Flat Rate organizations are billed once a month, on the date you first activated. At that moment we take a snapshot of active members and charge (members) × $10. Members who join or leave between renewals do not change that month's charge. The next renewal's snapshot picks up the new count. No proration, no mid-cycle refunds. Designed for simplicity, not surprise invoices.

No. Members only see organization-level resources, meaning the company pool balance (Credits plan) or company API key status (Flat Rate). Personal balances, personal keys, and other members' private settings are not visible to anyone in the org. The header balance chip on a member's screen names the company, never the individual.

Yes. One person can belong to multiple companies AND keep a personal account. A "context" chip in the header switches between Personal / Company A / Company B. The next call after switching uses the new context's resources; debates already in progress finish on the context they started in.

Yes. Owners and admins can set an optional max_seats limit. New invites and auto-join are blocked with a friendly message once the cap is reached. Leave it unset for unlimited growth.

Flat Rate organizations need at least one company API key registered for the BYOK path to work. Members trying to debate on a model whose provider has no company key see a clear "Company key not registered. Contact your admin" message. Only owners and admins can register, rotate, or remove company keys. Members never see the key-entry UI.

There is a 7-day grace period. A "Payment information needs updating" banner appears on every org screen and the billing contact email gets a notice. Calls keep working under the regular Flat Rate rules during grace. If the issue isn't resolved in 7 days, Flat Rate auto-expires and the org reverts to the standby state (or falls back to Credits if there's a positive pool balance).

Card auto-pay only. Both Flat Rate subscriptions and Credit top-ups run through Stripe Checkout. Apple Pay and Google Pay work where Stripe supports them. Bank transfer, wire, and virtual-account methods are out of scope for self-signup right now.

Prices shown exclude tax. Applicable sales tax is calculated automatically at checkout based on your location, and itemized on your receipt.

No, Tax ID is optional. If you enter one (US EIN, EU VAT, or your country's business registration number), it appears on every receipt automatically. You can leave it blank and add it later from organization settings.

Every payment, monthly subscription charge or credit top-up, generates an automatic Stripe receipt sent to your billing contact email. Receipts carry the billing legal name, country, and Tax ID you provided. The org admin page also offers full-history CSV export and per-payment PDF download.

Optionally, yes. Once you verify your domain via DNS TXT, new users signing up with that email domain see a one-click prompt asking if they want to join your org. The prompt is always opt-in, never automatic absorption. Toggle the feature on or off any time from the org admin domain tab.

Yes, owners and admins can switch the plan any time. Switching from Flat Rate to Credits keeps the current subscription running until the next renewal date (no mid-cycle refund). Switching from Credits to Flat Rate preserves any leftover pool balance as backup credits, the same "subscription + backup credits" arrangement personal Flat Rate accounts have.

Unused credits are refundable within 7 days of purchase : email support@polora.ai and we'll return the unused balance to your original payment method. Credits you've already spent are non-refundable. Monthly Flat-rate subscription charges are non-refundable once processed, and mid-cycle member departures don't generate prorated refunds. If your org closes with a positive Credit pool balance, the unused leftover is refundable the same way.

Self-signup covers Flat Rate, Credits, multi-seat invites, and standard receipts, which is everything most teams need. SSO (SAML/OIDC), custom contract terms, volume discounts above the listed seats, and annual prepay are handled separately. Email enterprise@polora.ai if any of those apply to your team.
